Planning and Preparing for Zero-Disruption Migration
To ensure a successful migration with zero disruption, we followed a detailed plan focusing on each critical aspect:
User Account Setup
We began by creating Microsoft 365 accounts for all users, ensuring correct licensing and role assignments. The CEO was assigned global administrator rights to maintain control.
Domain Verification & DNS Configuration
We updated the client's domain DNS records through their Wix hosting service to redirect email traffic to Microsoft 365 servers. This involved updating MX, TXT, and CNAME records and verifying domain ownership in the Microsoft 365 Admin Center.
Security Hardening
Two-factor authentication (2FA) was enabled for all users to enhance account security. App-specific passwords were generated to enable email migration via IMAP while maintaining strict access controls.
Email Migration via IMAP
Using the Microsoft Exchange Admin Center's IMAP migration tool, we imported all email data from Gmail to Outlook. We prepared a CSV file listing user credentials and app passwords, monitored the migration batches, and validated data integrity continuously.
File Migration from Google Drive to OneDrive
The Google Workspace Migration Tool was leveraged to transfer all user files and folders to OneDrive, preserving folder structures and sharing permissions where possible.
Handling Personal File Restrictions
Some users had personal files with restricted permissions preventing automated migration. We provided remote desktop assistance to manually upload and organize these files on OneDrive.
Post-Migration Desktop Configuration
Finally, we configured Outlook, Teams, and OneDrive on each user's workstation and provided end-user training to facilitate adoption and productivity.

With a mailbox size of approximately 10GB, the IMAP sync took nearly three days to complete. Though initial progress seemed slow, constant monitoring and patience ensured complete and consistent data transfer.
âš Access Restrictions on Personal Files
Permission restrictions on some personal OneDrive files meant automated migration wasn't feasible. Direct collaboration with users during remote sessions allowed successful manual uploads without delay.
