Creating and Working with Workspaces
Understanding workspaces, creating, and managing workspaces for collaboration
In this section, we’ll learn about what is workspace, how to create them, and how to manage them for effective collaboration with your team.
What is a Workspace?
• Workspace in Power BI Service is a shared environment where you and your team can store
and collaborate on reports, dashboards, and datasets.
• Types of Workspaces:
o My Workspace: Your personal workspace where only you can see and work on your content.
o Shared Workspaces: Team spaces where multiple users can collaborate on reports and
datasets.
• How to Use Workspaces?
o To access Workspaces, log in to Power BI Service and look for the Workspaces section on
the left sidebar.
Click on My Workspace to work on your own, or join a Shared Workspace to collaborate with others.

• Collaborate Easily: Work together with teammates on reports and dashboards in one place.
• Organize Content: Keep all related reports, datasets, and dashboards organized in one
workspace.
• Control Access: Manage who can view, edit, or share your reports and dashboards.
3. Creating a Workspace
• How to Create a Workspace:
1. Log in to the Power BI Service.
2. Click on Workspaces on the left sidebar, and click on new workspace.
3. Enter a name for your workspace and click Apply.
How to Get Started with Power BI Service
Publish Your Report:
1. Open Power BI Desktop and click Sign In at the top-right corner.
2. Enter the email ID and password given by Microsoft to log in.
3. Once logged in, go to the Home tab and click Publish to upload your report.
4. Select a workspace where you want to save your report and click select.
5. Login to Power BI service and go to workspace that you have created and refresh the page if don’t see your report.
• Click the dashboard super store (Report) to see the visualized data or report.
• Click the dashboard super store (Semantic model) to see the underlying data model that
supports the report.
• Or you can upload the report in Power BI service directly by choosing the workspace and click upload and browse. And choose your .pbix file.
Editing and Saving Reports in cloud:
• You can edit Power BI reports directly in the cloud and save your changes without needing to
download or manage files locally.
• You can also download the edited report in your device and open in Power BI desktop by clicking
Download this File.
Share with Others:
Use the Share button to send your reports to teammates or create a link.
Note: Your teammates require email id and password of your Microsoft account.
3. Managing a Workspace
• Update Content: Add or update reports, datasets, and dashboards directly in the workspace.
• Set Permissions: Control who can access or edit content by managing roles in the
workspace settings.
• Collaborate: Use comments and notifications to discuss changes or updates with your team.

Go to Workspaces > New Workspace in Power BI Service, name it, and click Apply.
